Plain language summary. When you apply or register, EthicaFi creates an account for you and collects what we need to review you: your contact details, your answers, and the documents you choose to upload. If you are approved, we keep a record of what you do on the platform that touches another person's confidential information: which business profiles you open and which confidentiality agreements you sign. Before approval, your identity and, for investors, your investor status are checked by an independent verification service; EthicaFi does not store your identity documents. We do not sell your information and we do not share it with advertisers. You can ask for a copy of your information, a correction, or deletion of what we are not required to keep.
1. Who we are
EthicaFi LLC ("EthicaFi", "we", "us") is a Shariah-compliant matchmaking platform for business owners and investors, based in Boca Raton, Florida, United States. 2. Information we collect
2.1 When you apply or register on the website
Full name, email address, phone number, how you heard about us, and for business owners the business name, the amount sought, the preferred financing structure and the stage of the business; for investors, whether you invest personally or through an entity and the amount you would consider per opportunity. Submitting the form creates your account.
2.2 When you complete your profile in the Room
Business owners: years trading, revenue and projected revenue, legal entity type, what the financing is for, timing, and the documents you upload (for example a business plan or bank statements). Investors: your accredited investor self-certification, investing experience, the structures and industries you prefer, when you could deploy capital, and entity details if you invest through a company or fund.
2.3 Verification
Before approval, your identity and, for investors, your investor status are verified by an independent verification service acting on our behalf. That service collects your identity document and, where applicable, evidence of investor status directly from you under its own privacy policy. EthicaFi receives the result (verified or not), a reference number and the date. EthicaFi does not receive or store copies of your identity documents.
2.4 When you use the platform
Sign-in records; the confidentiality agreements you sign, including the version and exact text shown, the name you typed, the time, your IP address and browser; every business profile and document you open; the listings you create or confirm as a business owner; introduction requests and answers; messages you send through the platform; and problem reports.
2.5 Collected automatically
Browser and device type, pages visited, referring page, approximate location at city level, and IP address, through standard analytics on the public website. Analytics are not used to identify you.
2.6 What we do not collect
We do not ask for Social Security numbers, bank account numbers or identity document images through our own forms. Payment and escrow arrangements, if any, are handled by licensed third parties outside this platform under their own terms.
3. How we use your information
To create and secure your account; to review your application and tell you the outcome; to verify identity and investor status where required; to run the platform (listings, confidentiality agreements, introductions, documents); to keep the records that confidentiality on this platform depends on; to send transactional emails about your application and account; to respond to you; to meet legal obligations; and, with your consent, to send educational content about Shariah-compliant financing. Approval decisions are made by people. We do not make automated financial decisions about you.
4. How we share your information
We do not sell, rent or trade personal information, and we do not share it with advertisers.
4.1 Between users of the platform
A business owner's identity, financials and documents are shown to an investor only after that investor has signed the confidentiality agreement for that specific business. Before that, investors see an anonymised description. A business owner sees an investor's name and contact details only after the owner accepts an introduction request. Both sides are told which of their records the other can see.
4.2 Service providers
Our database, authentication and file-storage provider; our customer relationship management and email platform, where contact details, application status and messages are mirrored so our team can respond; the independent verification service described in section 2.3; and web analytics. Each provider processes information only to provide its service to us.
4.3 Advisers and legal requirements
Our Shariah Advisory Board and legal counsel may see information needed to review an arrangement. We may disclose information when required by law, court order or a government authority, or to protect the rights, property or safety of EthicaFi, our users or the public.
4.4 Business transfers
If EthicaFi is acquired or merged, your information may transfer as part of that transaction. We will notify registered users by email before it becomes subject to a different privacy policy.
4.5 Text messages
If you opt in to text messages, we send messages about your application, appointments and platform updates. Mobile opt-in data is not shared with third parties for marketing. Message frequency varies; message and data rates may apply; reply STOP to opt out and HELP for help.
5. Security
Access to confidential business information is enforced by the database, not by the web page: the server does not send a business's identity to an investor who has not signed for it. Confidentiality agreements and the access log are append-only: they can be added to but never edited or deleted, by anyone, including EthicaFi staff. Documents are stored privately and watermarked with the viewer's name when opened. Connections are encrypted. Staff access is limited to the people who review applications and run the platform. No system is perfectly secure; if you believe your information has been exposed, contact us at once.
6. Retention
Application records: for the life of your account and for as long as required by law after it closes. Confidentiality agreements and the access log: kept permanently, because they are the record both parties rely on. Documents you upload: until you delete them before review, or for the life of the listing and any period required by law after it. Verification results: the result and reference only, for as long as your account exists. Emails and messages: at least four years. Analytics: per the analytics provider's standard retention.
7. Your rights and choices
You can ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete what we are not required to keep. Signed confidentiality agreements and access-log entries cannot be deleted, because other parties rely on them, but they can be closed to further use. You can unsubscribe from educational emails with the link in each one; transactional emails about your account continue while your account exists. Florida residents have rights under the Florida Digital Bill of Rights and will be notified of a data breach as Florida law requires. California residents may have rights under the California Consumer Privacy Act; EthicaFi does not sell personal information. Make any request through ethicafi.com/contact; we respond within 30 days.
8. Cookies
The website and the Rooms use cookies and similar storage for signing in, keeping your session, remembering choices and analytics. None are used for advertising or cross-site tracking.
9. Children
The platform is for adults aged 18 and over. We do not knowingly collect information from anyone under 18.
10. Changes
When this policy changes materially we post the new version with its date and notify registered users by email before it takes effect.
